GroupWise Accounts

GroupWise accounts on the ACES/Ag server provide each user with 250 MB of space to use as desired. Messages can remain in a user's account indefinitely as long as the user does not exceed the 250 MB quota.

Your GroupWise Disk Usage

Your total usage is indicated as a percentage in the lower right-hand corner of the GroupWise window. Double-click on that box to view details of your usage and to see which messages are taking up the most space. Usage is the sum of the size of all the messages in your Mailbox (i.e. incoming mail), Sent Items, Cabinet, and Trash. If you do reach 250 MB, you will continue to receive incoming messages, but you won't be able to send messages until you drop below 250 MB.

Staying Below the 250 MB Quota

You can stay below the quota either by deleting messages or by using the archive feature to move messages out of GroupWise. The easiest way to find large messages and delete them is to double-click the quota box as indicated above and then view each of the four locations. The messages are sorted by size so it's easy to find the large ones and delete them as needed. Note that if you choose not to use the quota box window and instead delete messages directly from your various folders, those messages are just moved to Trash and still count toward your usage. You must delete them from Trash in order to completely remove them from your account.

To learn more about manually archiving messages, go to http://www.auburn.edu/oit/aunet/gw/tips/#archive. (References on that web page about auto-archiving after 120 days do not pertain to ACES/Ag GroupWise users.)

Attachments

Since attachments typically occupy a lot of space, it's wise to save attachments to your local PC disk rather than storing them in your GroupWise Cabinet. Once you save a copy of an attachment to your PC, you can remove (or strip) the attachment from the mail message and then save the smaller mail message to your GW Cabinet. The utility to strip attachments can be added to GroupWise and is available at ftp://ftp.acesag.auburn.edu/pub/windows/groupwise/gwstrip.zip.
